Students with special meal requirements will need to communicate these to WorldStrides and your Group Leader in advance. WorldStrides will make every effort to communicate special dietary restrictions requests or allergies to the restaurants where food is served on our trips.
Despite our best efforts, though, several factors make it impossible for WorldStrides to make a reliable commitment ahead of your trip that a specific meal will be arranged according to the health requirements for a participant. Travellers who suffer from complex or extreme food allergies are advised to pack adequate snacks and be prepared with extra meal money to purchase uniquely prepared foods, if necessary.
Yes. WorldStrides welcomes handicapped participants and makes every effort to accommodate the student’s needs. Students should ask the teacher leading their trip to contact his or her Account Manager regarding any special needs so we may take care of the necessary arrangements.
Please note that there may be some activities in which a traveller is unable to participate. WorldStrides will be happy to work with anyone who has mobility or other issues to try to make it possible for them to participate. Additionally, we recommend that students with special needs investigate their destination(s) to make sure any special care would be available. Review the European Centre for Disease Prevention and Control’s website for tips.
Due to the nature of group travel and the discounted group rates we receive, airlines do not allow the use of frequent flyer programs. Additionally, travellers are not eligible to receive frequent flyer miles for their travel.
Due to the complexity and continuous changes to visa requirements, we are unable to help with visa advice. The Group Leader needs to check the guidelines of the chosen destination and inform parents of any visa requirements. It is then the parents’ responsibility to ensure their child meets the requirements.
You will either need travel insurance through the school or through WorldStrides. We partner with Fogg Insurance to provide a comprehensive policy for schools. Group Leaders can contact their WorldStrides Account Manager for full insurance details.
Yes. The safety and security of our travelling teachers and students is our top priority, and one measure we take to ensure this safety, and support, is through Tour Central.
Tour Central is staffed by WorldStrides employees and is available 24/7 for all travelling groups. Tour Central is there to assist you with any questions or problems that may arise—no matter how big or how small. The staff is specially trained to monitor events domestically and around the world, and has dozens of contingency plans in place to help us jump into action when necessary.
Yes, we can work with non-U.K.-based schools. We have experience sourcing multilingual guides in emerging markets.

WorldStrides is an ABTA member which means we provide full financial protection for your money. We will also provide the Group Leader with an ATOL certificate for financial protection when you book and pay the deposit.
Passports should not expire for at least six months from the date you’ll return. Please check the government website for the country you are visiting for any additional requirements. All pages must be securely fastened inside. (Some countries will not accept a passport that does not meet these standards.)
We recommend students make two black and white copies of their passport before travel in case their passport is lost or stolen; keep one in secured luggage and give one to the Group Leader.
On most of our school trips, students will carry their own luggage, so it is always recommended to pack light! For short trips, one small suitcase is recommended. For longer trips, we recommend no more than one checked bag and one carry-on.
Please check with the Group Leader whether luggage is included on your school trip. Please also check your airline’s website prior to travel for up-to-date information regarding weight and size limits set by the airline.
Gratuities to your WorldStrides Tour Director and long distance tour bus driver (if applicable) are not included in the tour price. For a job well done, recommended tipping guidelines are as follows:
- Europe: 4 Euros per day for your Tour Director and 2 Euros per day for your long-distance coach driver.
- UK: 3 Pounds per day for your Tour Director and 1 Pound per day for your long-distance coach driver.
- Latin America: $3 per day for your Tour Director and $2 per day for your long-distance coach driver.
- US: $3 per day for your Tour Director and $2 per day for your long-distance coach driver.
The amount of spending money students need to bring depends on the length of the tour and the destination. It is also a personal preference—meaning that if you want to buy a lot of souvenirs, then you’ll need to bring more spending money. Please check with the Group Leader for guidelines.
One of the many benefits of travelling with WorldStrides is that we handle all the details. In the event of a flight delay or cancelled flight, our Tour Central team kicks in to action. Tour Central, in conjunction with our Operations Team, will coordinate all new flight arrangements and secure hotel accommodations for your group. We’ll even coordinate additional meals when necessary—and the hotel and meals expenses are covered by WorldStrides,which means no additional expenses for the trip participants.
Please note if your flights have been purchased separately to the rest of the tour then you are required to handle this yourself.
Most airlines will not allow name changes, however if they do, there is an amendment fee.
Please contact the Group Leader to cancel your booking who will work with WorldStrides to determine if any refund is available.
Deposits for any of our tours are non refundable.
WorldStrides calls these guides Course Leaders or Tour Directors and they are often the highlight of the trip! Our guides are trained by WorldStrides. Many have other careers that allow them to present interdisciplinary approaches to subject material and to make connections that extend beyond traditional classroom instruction. They include teachers, scientists, writers, artists, teachers, singers, musicians, art historians, film producers, translators, and more. They all have fascinating stories. They are collectively multilingual, university-educated, well-travelled, passionate about the destinations in which they work, and enthusiastic about working with young people.
The safety of our travellers is our top priority. In the event of an emergency, WorldStrides Tour Central office is available 24 hours a day. This office is the gateway to our Doctors on Call Program. Doctors on Call is an exclusive partnership we have with the George Washington University Department of Emergency Medicine. Through this partnership, doctors provide consultation by phone for international participants. Doctors on Call is just one of the many steps we take to ensure every detail is covered to provide a safe, and worry free, experience for our teachers, students, and parents.
Please check with the Group Leader regarding the terms and conditions on refunds, as it depends on how long you have until your school is due to travel.
If the circumstances fall within your insurance policy (either through the school or WorldStrides) then you may be eligible for a refund through insurance.
For large-scale disruptions such as natural disasters, flight delays, or more serious world events, our team is equipped with extensive contingency plans and decades of experience in evaluating risks, and sometimes rerouting and evacuating groups. Safety is our first priority, but rest assured we are also committed to providing you as much of the experience you are expecting as possible. As a result of our experience and global reach, more of our programmes are able to continue with alternative arrangements than single-market operators who lack this breadth. In the event of a serious situation such as a natural disaster, WorldStrides will regularly update the school who will update families.
Safety and security are the top priorities for WorldStrides. WorldStrides will not operate any part of a tour if the safety of any participant is compromised. In order to protect the investment you are making, you must have insurance either through WorldStrides or the school.
WorldStrides has never cancelled a trip permanently. If we deem it unsafe for your group to travel, we will postpone the tour dates. If the new dates have changed by three days or more and do not work for you, you have 14 days to notify us in writing, and we will issue a full refund less the applicable fees.
LEAP stands for Learning through Exploration and Active Participation. It is the WorldStrides educational philosophy that embodies a hands-on, exploratory approach to travel and learning. This means students won’t be passive tourists, but rather, active participants in experiential learning with high levels of engagement, guided discussion, questions and answers, and personal connections.
Students carrying money should be advised to keep cash in a safe place such as a money belt or wallet in a secure pocket. Where possible, it is best for travellers to carry only what they may need for the day, and to secure the rest of their cash in their luggage.
For international travel, you may take a credit card or bankcard that can be used at international ATMs. Remember to check with your credit card company or bank to make sure your card will work overseas. Travellers checks are not recommended and are not allowed for minors.
A Tour Director will accompany your group 24 hours a day—from your group’s arrival until your departure (unless otherwise requested). The services of our Tour Director are exclusive to each group—they stay in the same hotels as you, eat dinner with you, and are available to help with planning of evening activities, if desired. Their job is to attend to your group’s needs at all times. In all our destinations, we choose guides who are qualified to meet the unique needs of each particular group. We take great pride in matching guides to groups based on age, gender, or experience.
You will travel by either aeroplane or coach, depending on the destination. A comfortable, air-conditioned motorcoach will be used to take your group to the various sites and activities in your destination city. In some cities, you will walk or take public transportation to many of the sites, when convenient.
Comfortable clothes and walking shoes are a must. Since the weather can be unpredictable, be sure to bring rain gear and to dress in layers in case the temperature changes throughout the day. You should check the weather forecast for your destination during the time you’ll be travelling and pack accordingly.

Every tour is customised and what’s included may vary from trip to trip. A typical tour includes transportation (air or motorcoach), hotel accommodations, some meals, sightseeing activities and educational content. Tour Directors are usually included in our worldwide tours but not on all our European tours. All tours also include all of our safety provisions and support.
We work with your budget and tailor the trip to your needs.
WorldStrides will provide specific flight information at the earliest opportunity. Flights with low cost airlines will be booked when the deposit is received and can be booked approximately 11 months in advance. All other flight information will be known at least one to two months in advance of the tour departure.
Confirmed hotel information will be available 30 days prior to departure.

We choose the airline based on the most convenient flight times and routes with the budget and itinerary in mind. We use a wide range of airlines however if a school has a preferred airline we can accommodate requests.
Our internal risk and operations teams are staffed by executives with decades of experience in contingency planning. Additionally, our partnership with the George Washington University Department of Emergency Medicine allows travellers access to expert medical care while on tour. Lastly, our team works closely with the School Travel Forum, GOV.UK, International SOS, and iJET to evaluate global conditions and advise clients when substantive issues arise.

Students typically room with three other students (four students to a room) of the same gender. Many trips allow students to select their own roommates. Ultimate approval of all roommate selections rests with the Group Leader.
Most of our tours are private tours however if you don’t have enough students to run your own tour, you can join one of our Shared Perspectives tours with only six students. On these tours you will travel with other schools from all over the world.
